Who is allowed to send email as you?
Answer who sends mail for your domain — Microsoft 365, Google, Mailchimp, your own server — and copy a DNS record. No jargon required.
SPF is a short note in your domain’s DNS that says who is allowed to send email as you. Answer the questions, then copy the record into the place you bought the domain (GoDaddy, Cloudflare, Namecheap, and so on).
1. What is your email domain?
The part after @. If you send as jane@acme.com, type acme.com.
2. Who sends email for you?
Tick every service that sends mail using your domain. If you are not sure, tick it — missing a sender is worse than listing an extra one at the start.
3. Anyone else?
A company not listed above may have given you an “include” name (looks like include:something.com). Paste those names, one per line. Office or firewall boxes with a fixed public IP go in the second box.
4. How strict should this be?
If you are not sure you ticked everyone, start gentle. You can tighten it later.
5. Copy this into DNS
v=spf1 mx ~all
- Log in where you bought the domain (or Cloudflare, if you moved DNS there).
- Open DNS records. Add a TXT record.
- Name is usually @ meaning the domain itself — not www, not mail.
- Paste the value above. Save. Wait a few minutes, then look it up.
- When that looks right, add a DMARC record so you get a weekly report of who is sending as you.
How it works

Will this change my live email?
Not by itself. Nothing is published until you paste the record into DNS where you bought the domain.
I use Microsoft 365 and Mailchimp. What do I tick?
Tick both, plus “my own mail server” only if you still have a separate server. Soft start is fine.
What if I miss a sender?
Their mail can start looking fake. Add them and save DNS again. Start with the gentle (soft) option.
