On-Premise Email Server Software: Keep the MX on Your Network

On-premise email is a residency decision. Compare Windows and Linux servers you run yourself versus Microsoft 365—and when an archive or spam gateway is the missing piece.

On-premise means you answer the MX

This is not “best email server” against Gmail. It is mail whose disks and SMTP listener live on equipment you control. Microsoft 365 can be excellent; it fails this definition.

Related but different questions: Windows-specific comparison, self-hosted hobby/Linux, SMB buying.

The on-prem stack is often three products

  1. Mail server (this page / Hexamail Server).
  2. Spam gateway if the server’s filter is thin — on-premise spam filter.
  3. Archive if retention is a legal job — on-premise archiving.

Buying one appliance named “email” that claims all three is how you get a mediocre MX.

Data stays on your network. SMTP/IMAP/POP, webmail, calendars, public folders, TLS, optional antispam/antivirus. Pair with Vault if the requirement quietly said GDPR retention.
