Microsoft 365 Email Archiving: Purview vs an On-Prem Copy
Microsoft 365 retention is not the same as an independent archive. When Purview is enough, and when to journal Microsoft 365 to on-premise software.
Two products hide under one search
A. Retain mail inside Microsoft 365 (Purview, retention labels, eDiscovery, online archive mailboxes). B. Copy mail out to a store you hold (journal / SMTP / Graph / EWS / PST) — on-premise archiving.
A is simpler if every mailbox is already Exchange Online and counsel accepts Microsoft. B exists because of residency, a second mail system, PST mountains, or “we do not want the mail host to be the archive.”
When Purview is the archive
You are M365-native, you will pay for the SKU that includes the eDiscovery you think you have (often E5 or add-ons), and you have tested one real export. Then do not buy Vault to feel safer. Configure retention properly instead.
When you still want an on-prem copy
Journal from Exchange Online to Hexamail Vault or MailStore. Import historical PSTs the cloud will never see. Keep MailStore/Vault as the independent record if Microsoft tenancy loss is in your threat model.
Capture plumbing is changing: Exchange Online EWS retirement is on Microsoft’s calendar (October 2026 for many EWS paths); vendors are moving to Graph. Confirm the build before you design the journal.
Hexamail Vault for M365 estates
