Exchange Alternative for Small Business: When CALs Are the Problem
On-prem Exchange is still the reference Windows mail server. Small businesses looking for an alternative usually want IMAP/groupware without CAL math—or they actually want Microsoft 365.
Two different “Exchange alternatives”
1. Leave the building: Microsoft 365. Same Outlook, someone else runs it. Correct if you do not want an MX. 2. Keep the building, leave the CALs: an on-prem server that is not Exchange.
This page is (2), with (1) named so you do not buy Hexamail when you meant Outlook on the web. Hub: Windows mail servers. Deployment-only question: on-premise email server.
What small businesses actually used Exchange for
Shared calendars, ActiveSync, Outlook autodiscover, public folders, AD accounts. Strip that list. If the remnant is “mail in Outlook,” IMAP + Autodiscover-ish DNS + webmail is enough. If the remnant is “Outlook public folders and MAPI,” SmarterMail or staying on Exchange/M365 is the honest pair.
On-prem alternatives
Try before you migrate public folders
Export a pilot group over IMAP, run Hexamail or SmarterMail for two weeks, and only then plan public-folder archaeology. Most SMB Exchange replacements fail on calendar sharing assumptions, not SMTP.
