Email Server for Small Business: Hosted vs On-Premise

Small-business email is usually Microsoft 365 or Google. An on-premise server is for when those do not fit—legacy MX, data residency, or Windows-only IT.

Hexamail Editorial

Most small businesses should not run a mail server

If nobody on staff can explain SPF, DKIM, and backups, buy Microsoft 365 or Google Workspace. This page exists for the awkward remainder: a workshop that must keep mail on a Windows box, a charity that cannot put mail in a US cloud, an MSP hosting ten domains, a company with POP mailboxes still arriving at an ISP.

Windows bake-off: best Windows mail server. Linux hobby: self-hosted.

Decision

If you do run it

Budget spam (Guard), backups, and an archive separately. Hexamail Server is sized for that SMB on-prem remainder—not for beating Gmail at consumer search.
