Email Migration Software: Moving Mail Without Losing the Record

Most “migration software” searches are collectors

BitTitan/MigrationWiz-class tools exist for tenant-to-tenant Microsoft moves. SMB “email migration software” is often: copy IMAP, ingest PST, or fetch ISP POP into a new server. That last one is POP3 Downloader.

If the destination is an archive, you are not migrating users — you are capturing a record (Vault). If the destination is a new Windows MX, see on-premise email server.

A cutover that does not lose a day of mail

  1. Dual-run: journal/collect into the new system while the old MX still works.
  2. IMAP or PST copy of history.
  3. Count messages, not gigabytes.
  4. Switch MX / profiles.
  5. Keep the old system read-only until counts match.

Where Hexamail sits

Downloader = ongoing collection and ISP POP/IMAP. Vault = historical PST/SMTP archive. Server = the new mailbox home. None of them is MigrationWiz. Use the expensive suite when both sides are giant Microsoft tenants; use these when the awkward side is a legacy mailbox or an on-prem destination.
